Job Title: Part-Time Administrative Assistant
Organization: Wild Bird Research Group, Inc.
Location: Remote (with occasional in-person meetings or events, if local). Office space is available if local to Hopewell, NJ
Hours: 10–15 hours per week (flexible schedule)
Compensation: 18-22 an hour, depending on experience

About Wild Bird Research Group

Wild Bird Research Group, Inc. (WBRG) is a nonprofit organization dedicated to the conservation of wild birds and their habitats through scientific research, education, and public outreach. We conduct long-term monitoring projects, collaborate with partners on habitat conservation, and engage communities through field research experiences and education.

Position Summary

We are seeking a motivated, detail-oriented Administrative Assistant to support the daily operations of our growing organization. The ideal candidate is organized, proactive, and passionate about wildlife conservation. This role provides vital behind-the-scenes support to help our research, outreach, and fundraising efforts run smoothly.

Key Responsibilities

  • Manage and organize digital files and records (e.g., financials, permits, forms, donor data)
  • Assist with scheduling meetings, preparing agendas, and taking notes
    Support communications with staff, volunteers, and board members
  • Help maintain mailing lists, donor databases, and contact records
  • Assist in the preparation and submission of grant applications and reports
    Track and organize invoices, receipts, and reimbursements in coordination with the Treasurer
  • Help with coordinating outreach campaigns, newsletters, and social media posts with Tyler W and the outreach committee
  • Provide general administrative support to the Executive Director and program managers
  • Maintain the Info email- communicating with mailers and getting emails to the right responder. 

Qualifications

  • Previous administrative experience (nonprofit experience a plus)
  • Strong organizational and time management skills
  • Proficiency with Google Workspace (Docs, Sheets, Drive) and basic spreadsheet/database skills
  • Excellent written and verbal communication skills
  • Ability to work independently and manage multiple tasks
  • Interest in conservation, birds, or environmental science is preferred.
